Quick answers

How does AriBooks use AI?

Only to summarize your clients' emails into clear, dated notes. It's not used to write or send anything to your clients on its own: nothing goes outbound. The AI reads incoming replies and turns them into a short summary you can act on.

What gets said to my clients?

Only the templates you set up and control in your settings. You decide the wording for every statement and follow-up, and you can edit them at any time. Nothing goes to a client that you haven't approved.

What happens when a client replies to me?

The AI summarizes the email into a short, dated note and logs it back into the tools you already use, so payment promises and questions don't slip through the cracks or get buried in a separate inbox. When a reply actually needs your attention, you can forward the email straight from within AriBooks: you stay in control of the conversation, and the note trail stays up to date around it.

Is my accounting data safe?

Yes. AriBooks connects securely to the systems you already use through secure sign-in (OAuth 2.0), with access limited to only what's needed for the features you turn on. Your data is encrypted in transit and at rest, and you can revoke access at any time. Client portal access uses a one-time passcode, so there's no password for clients to create or remember.

Does AriBooks take payments?

No. It never moves money. It sends statements, lets clients view their billing history and request your payment details, and records what they say back to the systems you already use. You get paid however you do now.

What systems does AriBooks connect to?

Off the shelf, AriBooks connects with QuickBooks® Online accounting software. Beyond that, we build custom integrations. If you use a common app and want AriBooks to work with it, don't be shy, reach out and we'll look into building an integration for it. Tell us what you use: support@aribooks.com.

What if I don't send statements regularly?

That's fine: you don't need a fixed schedule. When an account goes overdue, you can put it on a follow-up schedule you fully control: how often it sends, how many reminders, the minimum balance, and how many days overdue before it starts. Send statements routinely, only when something's overdue, or both: it's entirely up to you.

How to send customer statements in QuickBooks

A statement gives your client a clear summary of their account: invoices, payments, and balance. Here's how to create and send one in QuickBooks Online, step by step.

Prefer not to do this by hand each time? AriBooks sends statements for you, gives clients a self-serve portal, and writes their replies back to QuickBooks automatically.

Set your statement detail first

Before your first statement, choose how much detail it shows. Go to Settings ⚙ → Account and settings → Sales and open the Statements section.

Most businesses turn on List each transaction including all detail lines and Show aging table at bottom of statement so clients see exactly what's outstanding.

Open your customer list

From the left menu, go to Sales → Customers. In newer layouts this may appear as Customer Hub → Customers & leads.

Choose who gets a statement

Tick the checkbox next to each customer you want to send to.

  • One customer: use the Actions dropdown in their row and pick Create statement.
  • Several at once: select them all, then use Batch actions → Create statement.

Pick the statement type

QuickBooks offers three, depending on what you want the client to see:

  • Balance Forward: activity between two dates, with a running balance carried forward.
  • Open Item: every unpaid invoice from the last 365 days.
  • Transaction Statement: all transactions and payments, without a balance.

Set the dates and preview

Enter the statement date and the start/end period. Confirm each customer's email address is correct, then use Print Preview to check it reads the way you want.

Save and send

Click Save and send to email the statements. From here you'll watch for replies, read each one, and update the customer's record with any payment date they share, then repeat for anyone still outstanding.
