FAQ

Questions worth asking.

Is my QuickBooks Online data safe? +

Yes. We connect through the official, secure Intuit sign-in (OAuth 2.0), so AriBooks never sees or stores your password. Access is read-only — Ari reads your invoices but never writes to your books. More detail is in our Privacy and Terms.

What does Ari send my clients, and does it write the emails itself? +

Polite follow-ups from your own billing address, shown as "Your Business via AriBooks." Ari never writes anything itself — it sends templates you control, not AI-generated messages. Default templates work out of the box, and you can edit the wording, tone, and timing anytime.

Do all my clients get contacted? +

No — only the clients you opt in. They get Ari's follow-ups and a secure billing portal to view invoices and pay the way they always have. Everyone else stays exactly as they are today, and you can hold any single invoice to skip follow-ups on it.

Who does Ari contact? +

Ari works with each client's QuickBooks Online contact automatically — they get the follow-ups and access to a secure billing portal. You can add more people to any client too, like a billing contact or their accounts team: they get portal access and can reply into the client's timeline, and if you CC them, they'll also receive the follow-up emails and documents.

What happens when a client replies? +

Ari summarizes the reply onto that client's timeline and pulls out any date — "paying Friday," "back Monday" — so follow-ups pause and resume on their own. This is the one place AriBooks uses AI: to read what comes in, never to write what goes out. A reply from an address Ari doesn't recognize is forwarded to an inbox you choose, off your timeline.

What if a client disputes an invoice? +

Clients can flag an invoice right from their billing portal. It comes straight to you, follow-ups on that invoice pause while it's open, and you clear it once it's sorted out.

Do you only connect to QuickBooks Online? +

For now, yes — it's where we started. We're actively building more integrations, so if you use something else, just reach out and we'll see what we can work out.

How many users can I have? +

Up to 5. The account owner is a Super Admin, who can add Admins (can change settings) or Staff (everything except settings). Need more? Just reach out and we'll sort it out with you.
